A. Information You Provide
Account Information: When you sign up, we collect your email address and name.

Payment Information: If you subscribe to a paid plan, payments are processed by Stripe. We do not store your credit card details on our servers.

B. Information Accessed via Google APIs (Restricted Scope Data)
To provide our core feature—extracting school events from your emails—we require access to your Gmail account. We only access data necessary to perform this function:

Email Content: We read the body of emails and attachments (such as PDFs) strictly to identify and extract calendar events (e.g., school term dates, sports fixtures, meetings).

Calendar Access: We require access to your calendar to insert these extracted events.

3. How We Use Your Information

We use your data for the following specific purposes:

Core Functionality: To analyze school-related emails and automatically populate your calendar with relevant events.

Service Communication: To send you updates about the App, feature announcements, or security alerts (via Mailchimp). You may opt-out of marketing communications at any time.

Improvement: To fix bugs and improve the accuracy of our event extraction.

4. Google User Data “Limited Use” Disclosure
This section is provided to comply with the Google API Services User Data Policy.

Pogo’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

No Advertisement: We do not use any data obtained from your Google Workspace APIs (including email content) for advertising purposes.

AI Processing: We use Google Gemini (Vertex AI) to process email content and extract event details. We send only the necessary text and attachments to this provider. We have configured our use of this AI provider to ensure your data is not used to train their general third-party AI models.

Human Access Restricted: We do not allow humans to read your email data, except in the very limited cases listed below (see Section 6).

5. Data Storage and Retention

A. Where We Store Data
Your data is securely stored on Google Cloud Platform (GCP) servers located in the United States/Europe [choose one if you know, or leave generic].

B. Security Measures
Encryption at Rest: All personal data stored in our databases is encrypted at rest using industry-standard AES-256 encryption provided by Google Cloud Platform.

Encryption in Transit: All data transmitted between your device, our servers, and our third-party providers is encrypted via SSL/TLS (HTTPS).

C. Data Retention
Email Content: We retain a copy of the email content and extracted event data to allow you to edit or review events within the App.

Deletion: We retain this data until you delete your account. Upon account deletion, all your personal data and email content is permanently removed from our servers.

6. Human Access to Data

To ensure the privacy of your sensitive email data, no human at Meetpogo LTD sees your email content, with the following strict exceptions:

Explicit Consent: If you encounter a bug and specifically ask us to fix it (e.g., “This specific email wasn’t parsed correctly”), we may access that specific email with your permission to resolve the issue.

Legal Obligation: If required by valid legal process or government request.

Security: For security purposes, such as investigating a potential abuse or attack.

7. Sharing Your Data

We do not sell your personal data. We share data only with the following trusted third-party service providers necessary to operate our App:

Google Gemini (Vertex AI): For extracting text and events from emails.

Stripe: For processing subscription payments.

Mailchimp: For sending product updates and newsletters (email address only).

8. Children’s Privacy

Our App is intended for use by parents and guardians (users aged 18+) to manage school schedules. We do not knowingly collect personal information directly from children under 13. While the extracted data may relate to school activities, the authorized user of the App must be an adult.

9. Your Rights (GDPR & UK Data Protection Act)
As a user, you have the right to:

Access: Request a copy of the personal data we hold about you.

Correction: Request correction of inaccurate data.

Deletion: Request the deletion of your account and all associated data (“Right to be Forgotten”).

Withdraw Consent: Revoke our access to your Gmail account at any time via your Google Account Security settings.
